Great! We are looking for an ace to be our San Francisco Office Administrator to help us grow our business.  As part of the team, you will take care of our San Francisco headquarters, support the Corporate Operations team and our recruiting efforts as we grow!  Working with the COO, you are responsible for making sure our administrative processes and our offices are running smoothly!

Responsibilities

Office Administration

  • Manage all administrative needs of the San Francisco HQ office. This includes checking the mail onsite daily and distributing where needed, receiving packages, filing and organizing invoices and documents, and keeping a running inventory of office supplies.
  • Support team with travel logistics and meeting coordination.
  • Work with the Leadership Team to assist with All Hands and Offsite Meetings.  Including all elements of the objective of the meetings - from scheduling to content, to execution.
  • Serve as the internal point of contact and external vendor liaison in administering our various operational platforms and services
  • Manage and document the inventory of all company laptops, phones, and keys.  Work with the IT vendors as needed to ensure printers and network are always online.
  • Update weekly Sales and leadership reports as necessary. Complete ad hoc projects and tasks as assigned.

Recruiting & Onboarding
 

  • Identify future hiring needs with leadership and develop job descriptions to support company’s strategic goals. Collaborate with managers to compile a consistent list of requirements and create or update job descriptions
  • Prepare recruitment materials and post jobs to appropriate job boards. As necessary, source and recruit candidates by using databases, social media, direct outreach, etc.
  • Screen candidates' resumes and job applications; work with Hiring manager to select candidates and schedule interviews with the rest of the team.
  • Facilitate the offer process by working with Hiring manager to extend the offer and negotiate employment terms
  • Take ownership of the onboarding process - work with Hiring manager to create a complete first-week training and to ensure new employees feel welcome, understand the company culture, vision, and goals, and have resources to do their work
  • Create the Welcome to NPU box with materials provided onsite 
  • Work with the company’s IT department to ensure all tech required for each new hire is designated; as well as set up and ready on site to be handed to before the employee's first day.
  • Promote company’s reputation as “best place to work”

 

Requirements

  • 3+ years of experience in office administration 
  • Experience with recruiting coordination is a plus
  • Proficiency in Microsoft Office and Google Suite, DocuSign
  • “Just get things done” attitude;
  • A self-starter that thrives in fast-paced, entrepreneurial environment;
  • Have strong problem-solving skills and metrics driven;
  • Detailed-oriented and organized to track and execute all opportunities well;
  • Have a sense of humor and humility;
  • Some travel is required between NPU offices (California and Colorado)
  • Must be able to walk up and down stairs, be able to lift 25lbs;  
  • Must be able to use computer, phone, sit/stand for a long period of time.
